Accounting software records financial transactions. ERP extends beyond finance by connecting operational processes such as estimating, procurement, inventory, projects, assets, HR, documents and reporting into the same data model.
Accounting software
Traditional accounting systems focus on the general ledger, receivables, payables, banking, tax and financial statements. They are essential for financial control but may not know why a purchase was made, which project consumed the material or whether a requisition was approved.
ERP
An ERP can link the operational event to the financial result. A project requisition can create an RFQ, a purchase order creates committed cost, a GRN records receipt, inventory can allocate the item to a project, and the supplier invoice becomes actual cost.
Why integration matters
Without integration, teams repeatedly reconcile spreadsheets and systems. The same project, supplier, item or invoice may be represented differently in multiple places. A shared data model reduces duplication and creates a traceable chain from request to approval to cost.
When accounting alone may be enough
Small organizations with simple operations may not need a full ERP. The case becomes stronger when projects, inventory, procurement, approvals, assets or multiple departments must work from the same information.
